Chapter Meeting Format
Chapter leaders and officers are committed to providing their chapter members with a quality experience that will benefit them in their careers as well as in their professional development. Whether it’s an educational program related to certification, healthy work environments, Beacon Award status or clinical education, or the regular chapter member meeting, the goal is the same: provide information and education that is timely, useful and pertinent. Networking with other chapter leaders via the Chapter Listserv is one of the ways to share best practices that can be used in your chapter.
Greta Banning, president of the Wasatch Chapter in Utah, wanted to know what other chapters were doing to make their chapter meetings more social and interactive, and posted the following discussion on the Chapter Listserv:
We’re looking for ideas you all may employ in your chapter meetings to create more of a social, fun environment vs. a “staff meeting.” We have members from several different facilities and I would love to get things more interactive and mix it up a bit. We meet every other month at one of the hospitals, have about a 10-minute snack and social time, and then jump into chapter business. This usually involves the officers talking to the group – a very one-sided conversation. Then we have a 30-40 minute CE offering. Our membership is mostly ICU RNs with a handful of PCU nurses. No students, yet. Any ideas are welcome!
The Chapter Listserv community is truly a collaborative group and responded with the following feedback:
We are going to try a “chapter meeting” (vs. our regular open board meetings) in April at the local REI. They have a conference room and we have booked it from 5-9 p.m. for an open house-style meeting with some board business, a brief CE on palliative care and a presentation about the Beacon Award. We’re also planning to have a table with information about certification, and a table with some books like those recommended by (President) Dave Hanson. We plan it to be “drop in” and “casual,” “OK to wear scrubs,” with coffee/dessert/munchies. It’s a central location and ALL are welcome. Working on getting some sponsors to offset the cost, but I estimate it to be approximately $500 all told. So, it’s an idea about how to be more social and less structured. I will let you all know if it is a huge success.

We conduct our monthly meetings (Sept. to June) in almost the same format as yours. Registration at 6:30 p.m. followed by announcements at 6:50 p.m., then a presentation with dinner from 7-8 p.m., which is a 1 contact hour offering. Since I attended the Leadership Development Workshop (LDW) in Atlanta, I have been thinking of having a more informal social event/gathering ... turning these “meetings” into more of an oasis where members can be free to discuss ideas ... maybe doing a journal review & open feedback from members from different backgrounds. The question I ask myself when I think of deviating from what is currently being done is who will finance this social hour for my chapter ... since chapter members have been used to dinner meetings. Our chapter calendar is done for the year, so I am looking at next year if we are looking at changing formats.

We meet for a dinner “meeting” held at a different hospital each month. The nurses at the hosting hospital are invited to attend for free. We give out info and membership applications at each meeting. Chapter news takes place while they are eating dinner. Dinner is at 5:30 and then a CU talk at 6:15 for an hour or an hour and a half. Vendors give support for food and have displays. This seems to work for us. Area schools require their students to attend a professional meeting so we get a lot of students. Hopefully this is another way to familiarize nurses with our chapter. We have a slow, steady increase in our membership.

Wow!!! I am very impressed. We tried this type of format many years ago in Kansas City, but attendance at our monthly meetings dwindled over time and it became very challenging to find vendor support. Way to go Lake Erie!

We would invite “visitors” to attend in hopes that they would join - and a few did, but many did not. We have had the double whammy of dwindling participation from members and vendors, so we have had a rough year here in Mobile. I like the oasis idea - maybe with wine & a journal club. That could work. Good luck!

In Houston, we start out with registration, networking and refreshments from 4:30 to 5 p.m. From 5 to 5:30 p.m. we make announcements. Each committee chair or officer will address membership in order to inform them of anything that we’re doing. This is very interactive. In fact, we asked each of our officers and committee chairs to be present during networking time in order to welcome and mingle with members and encourage them to be part of our board. We also have volunteers to help out with making everybody feel comfortable. Then the lecture occurs from 5:30 to 6:30 p.m. and we do give a free 1 hour CE to anybody who attended the lecture. From 6:30 p.m. to whatever time we finish our agenda is the Board Meeting. We invite members to stay over if they wish. Sometimes, we get a few who will stay and listen. In order to get nursing students to attend, you need a faculty to support you fully so they can make their students attend. This January, we had more than 10 nursing students attend our meeting and stay for our Board Meeting, because their teacher asked them to write a paper on the challenges a chapter faces. We were interviewed by them as well. We distribute our flyers to the universities around the Houston area. Our smallest number of attendees for our monthly meeting is 32. We average 50 most of the time so we have to hold our meetings in big auditoriums.

Houston Gulf Coast Chapter
Good question. Chapter meetings can be a challenge! The Rum River Chapter that I belong to does a chapter meeting five times per year (every other month from September to May) where we have a light supper, a short business meeting and then a speaker which includes a CE. All the committees give a short report on what they are working on and that usually sparks some conversation among the group. Our chapter is small but has a very active membership. We do allow time for networking with each other before the business meeting starts. The meeting is scheduled for 1 hour and 45 minutes. On the opposite months the board meets for planning and updating. These meetings are open to the membership and do have some non-board members attend (like me sometimes).

Chapter Donates to Cost of Hearing Aid
The Greater Toledo (Ohio) Area Chapter (GTAC) supported new member Joshua Ovens, RN, with a $500 donation to help offset the cost of a new hearing aid, which is more than $3,000. Ovens works in the Surgical ICU at The Toledo Hospital and is hearing impaired. In his chapter presentation, titled “Can Nurses With a Hearing Disability Work in Critical Care,” he talked about the challenges he faced to become a critical care nurse. Rochelle Armola, RN, MSN, chapter president-elect and clinical nurse specialist for the Division of Critical Care at The Toledo Hospital, coordinated Ovens’ orientation program and has supported him on his journey. After his inspiring talk, GTAC presented him with the donation.

NTI Events of Interest to Chapters
This year’s NTI will be filled with much to learn, and several events are designed for chapter members and leaders: the Leadership Development Workshop, Chapter Concurrent Educational Sessions, Chapter Best Practice Posters, Chapter Regional Meetings and a preview of the chapter Web site upgrade and general information session. The Greater Chicago Area and Northwest Chicago Area chapters are your co-hosts and will be available at the Host Chapter Booth to answer your questions about the Chicago area. They will also have the official NTI T-shirts for sale (the T-shirts will also be available for purchase at the Bookstore).
Leadership Development Workshop
The big event for chapter leaders is the annual Leadership Development Workshop (LDW), which will be held Sunday, May 4 in the International Ballroom at the Hilton Chicago hotel. Funded in part by a grant from Covidien, the all-day LDW will provide chapter leaders with the core leadership skills to effectively and successfully manage their chapters while carrying out the work of AACN. This year’s keynote speaker is Stacy D. Nelson of VitalSmarts. Nelson will speak on Crucial Confrontations, focusing on effective communications. Other program topics will focus on good governance, including chapter strategic, financial and educational planning, as well as key AACN initiatives – Certification, Healthy Work Environments and the Beacon Award.
Chapter Concurrent Educational Sessions
All chapter members and leaders are invited and encouraged to attend any of the chapter concurrent educational sessions. All sessions will be held at McCormick Place West in Room 193AB:

Chapter Best Practice Posters
We invite you to view the Chapter Best Practice Posters and meet the authors for an opportunity to speak with them about their research findings and experience. A lot of good information will be shared. The posters will be on display at McCormick Place West Convention Center.
This year there will be two poster sessions instead of all posters being available for the entire conference. This will better accommodate the learning needs of attendees and the scheduling of everyone’s time. Visit the Host Chapter Booth at NTI for a complete schedule.
Chapter Regional Meetings
Some regions will hold regional meetings during NTI to network with other chapters. Your chapter advisers will be hosting the get-togethers. Be sure to stop by the Information Center at NTI to pick up a schedule of the regional meetings.
Chapter Web Site Preview and General Info Session
Mark your calendars to join us in the Demo Room near the Information Resource Center on Monday, May 5 from 5:15 to 6 p.m., or Tuesday, May 6 from 8 to 8:45 a.m. to view and learn about the upgraded chapter Web site. We have been working on many improvements to the chapter Web site that will make it easier to navigate and easier for chapter officers to submit financial reports and manage their chapters. We’ll also be available during this time to answer any chapter-related questions.
