What’s New

Every year we ask you, our volunteers, to complete a survey to help us improve the volunteer program so that we can better utilize your talents, accommodate your needs and recognize the incredibly valuable work that you do.

We’ve been looking very closely at the comments and suggestions we’ve received and, as a result, have created a plan to make some aggressive changes to our processes. Some of these changes have already been implemented and others are in process.

This page is designed to address the questions and concerns we’ve heard and to provide up to date information on volunteer changes and news.

New Volunteer Process

As a response to complaints that the application process was laborious and time consuming, we are discontinuing the need for an application to be filled out for every opportunity. Instead we are asking you to attach your CV to your volunteer profile. This will only need to be done once, and then updated whenever you want to. Below is the outline of our new process.

1. Update your Volunteer Profile.

We have modified and simplified the questions in this profile. It’s very important that you take a look at the new profile to ensure your interests are represented.

A new resource, Tips for Completing Your Volunteer Profile, has been designed to assist you with this.

2. Upload your CV.

This new section has been added to the Volunteer Profile. Your CV/Resume will replace the application form we have used in the past. Since it is replacing the application, it is required that you upload your CV in order to be considered for volunteer positions.

The good news is you only have to do it once versus completing the application for every group you were interested in. You may update it at any time.

3. Make sure your contact information is correct.

The primary email address that you have listed in your account is the one we will use to send you invitations to volunteer. Since we are no longer requiring volunteers to fill out an application for every opportunity, it will be extremely important that you keep your demographic information current in your membership profile.

You can update your demographic and contact information at any time by logging into the My Account page of the website.

4. Respond to email invitations.

When a volunteer opportunity becomes available that matches your interest and skills, an email will be sent to you with detailed information about the group including the purpose of the group, the type of work that will be required, the timeframe in which the work must be completed and any special qualifications required such as specific technical capabilities and licensing/educational requirements.

If you are interested in being considered for this opportunity you will be asked to respond to that email telling us how your experience and expertise will assist the group in completing their work. This information, along with your CV, will be forwarded to the AACN staff member (staff liaison) who will work with group leadership to make member selections and oversee the work of the group. 

Recognition Letter for Your Employer

We celebrate your contributions to AACN and your employer should too! If you would like a letter to be sent to your employer when you have completed work with a volunteer group, please contact the Volunteer Department and we will be happy to send one.

Communications

As a member of our volunteer database, you should receive at least a few emails from the Volunteer Department each year.

In some cases, people have not received emails that were sent to them. There are a couple reasons this can happen:

  1. Many facilities have tight security walls and the volunteer emails could end up in your spam folder or the delivery may fail entirely.
  2. AACN sends all our mass emails out using a system called Blue Hornet.
    • If you have ever opted-out of receiving emails from Blue Hornet, you will not receive the invitations to volunteer that we are sending you.
  3. The primary email address in your membership record is incorrect.

If you haven’t heard from us in a while, please check in with the Volunteer Department just to make sure we have your correct contact information. This will help ensure you are offered every possible opportunity to volunteer.

Below are the types of emails you can expect to receive:

Volunteer Invitation

You will receive one of these every time we have a need for volunteers who match your interest and skillset.

Confirmation Email

After you have responded to the Volunteer Invitation and provided any required additional information, you will receive a confirmation email. This email should arrive within three business days after your reply.

If you have not received a confirmation within that time please contact the Volunteer Department. This email will also give a basic timeframe for when selections are expected to be made.

Notification Email

All applicants are notified whether they have been selected for the group or not. If the timeframe outlined in your confirmation email has past and you have not received a notification email, feel free to contact the Volunteer Department to check the status of selection process. We’ll also keep you apprised of any changes to the timeline.

Volunteer Updates

As we continue to improve our processes, we will occasionally send an update email to all volunteers (approximately two to four a year). We’ll also send an annual volunteer survey to get your feedback. The survey is traditionally sent in August.

Feedback

If you are not selected for a volunteer group, we would be happy to provide you with feedback. Simply contact the Volunteer Department and we will work with the AACN leadership who made the selections for that group to provide you honest, constructive reasons behind the decisions made.
